Privacy Policy

I take your privacy seriously. This policy explains what personal information I collect when you visit www.charlotteferrier.com, get in touch, or work with me as a client; why I collect it; how I look after it; and the choices you have. I have tried to keep it plain and simple.
 

1. Who I am

I am Charlotte Ferrier, an RTT therapist, clinical hypnotherapist and embodiment coach, working in Gloucestershire and online. I am the "data controller" for your personal information, which means I decide how and why it is used.

2. What information I collect

When you enquire (clarity call form, contact form, email): your name, email address, phone number, preferred times, where you are based, your profession and what you would like help with.

When you become a client (client intake form): your date of birth, occupation, current living situation, a brief family background, your GP's name and address and the date of your last check-up, diagnosed mental health conditions, medications and supplements, previous experience of hypnosis, and what you would like to achieve.

During our work together: session notes, your questionnaire answers, and the personalised audio recording I make for you after an RTT session.

Payments: a record of what you have paid. I do not see or store your full card details; payments are handled by  Stripe, PayPal,bank transfer.

When you use the website: information about how the site is used, collected through cookies (see section 9).

Some of this is "special category" data, because it is information about your health. I treat it with extra care (see section 4).
 

3. Why I use your information, and my legal basis

  • To reply to your enquiry and arrange a call or session. Legal basis: taking steps at your request before entering a contract, and my legitimate interest in replying to you.

  • To provide therapy or coaching, take payment and keep appropriate records. Legal basis: performing our contract.

  • To use your health information so I can work with you safely and effectively. Legal basis: your explicit consent (see section 4).

  • To meet legal, tax, insurance and professional-body requirements (for example accounts and client records). Legal basis: legal obligation and my legitimate interests.

  • To understand how the website is used and improve it. Legal basis: your consent, given through the cookie banner.

I do not use your information for marketing unless you have asked to hear from me, and you can stop at any time. I do not sell your information.
 

4. Health information and your consent

Because I ask about your health, I will only collect and use that information with your explicit consent, which I ask for on the client intake form. You do not have to give it, but without it I may not be able to work with you safely. You can withdraw your consent at any time by emailing hello@charlotteferrier.com. If you do, I will stop using the information, although I may need to keep some records where the law or my insurance requires it. Withdrawing consent will not affect anything I did before you withdrew it.

Your information is kept confidential. I will only share it without your permission if the law requires me to, or if I believe someone is at serious risk of harm.
 

5. Who I share information with

I use a small number of trusted providers to run my practice. They only handle your information to provide their service to me:

  • Wix, which hosts my website and forms

  • Google Workspace

  • Zoom, for online sessions

  • Stripe

  • Google Analytics, for website statistics (only if you accept cookies)

Some of these providers are based outside the UK, for example in the United States. Where that happens, they must protect your information to an equivalent standard, for example through approved safeguards such as the UK data-transfer arrangements.
 

6. How long I keep your information

  • Client records (intake form, session notes, recordings):  7 years after our last session, as recommended by my insurer / professional body, then securely deleted.

  • Enquiries that do not lead to working together: 12 months.

  • Payment and accounting records: 6 years, as required for tax purposes.
     

7. How I keep your information safe

Your information is stored on password-protected devices and in encrypted online systems. Only I have access to your client records.
 

8. Your rights

You have the right to: see the information I hold about you; have it corrected; ask me to delete it; ask me to restrict how I use it; object to how I use it; receive a copy in a portable format; and withdraw your consent at any time. To use any of these rights, email hello@charlotteferrier.com. I will reply within one month. Some rights are limited where I must keep records by law.
 

9. Cookies

My website uses cookies, which are small files stored on your device. Essential cookies make the site work. With your permission, I also use Google Analytics to see how visitors use the site, so I can improve it. You can accept or decline non-essential cookies using the cookie banner, and you can change your choice at any time through your browser settings or the banner. I also use Google Ads measurement to understand which of my adverts lead to enquiries.
 

10. If you are unhappy

Please contact me first at hello@charlotteferrier.com and I will do my best to put things right. You also have the right to complain to the Information Commissioner's Office: www.ico.org.uk, 0303 123 1113.


11. Changes to this policy

I may update this policy from time to time. The latest version is always on this page, with the date it was last updated shown at the top.
